Introduction:
When your internal team identifies promising candidates, the next step is to integrate them into your organization as W2 employees. This involves extending a formal offer and guiding them through a structured onboarding process. Here's a step-by-step guide on how the candidate will accept an offer letter and navigate through the onboarding journey.
NB: We recommend providing WOLF with desired onboarding text.
Sending an Offer Letter:
Begin by accessing the candidate's profile and navigating to the employment tab.
Input the relevant data and send an offer, as detailed in the dedicated article on the employment tab.
Offer Letter Acceptance:
Candidates will be notified about the offer letter via their preferred notification channel.
Potential employees can access the link to the offer letter in either place.
The initial step involves reviewing the offer letter content.
If the terms are acceptable, candidates proceed by clicking "Next" to initiate the onboarding process.
Basic Information Entry:
Candidates are required to input essential information necessary for onboarding.
This includes details such as name, address (address must be filled in per the formatting provided), date of birth, etc.
After providing this information, candidates save their entry and progress to the payroll section.
Payroll Setup:
In this phase, candidates confirm information provided and choose a verification method.
Verification methods may include uploading a driver's license and a social security card, or a passport etc.
Upon selecting a verification method, candidates initiate the verification process.
Candidates can either scan a qr code or be texted a link to continue the verification process
After successful verification, candidates proceed to fill out federal W4 and i-9 forms.
Additional state required forms may need to be completed
A thorough review of the entered information ensures accuracy before moving on to subsequent forms.
Banking Information Input:
The final step involves providing banking information for salary disbursement.
Candidates enter their banking details to facilitate seamless and timely payments.
Conclusion:
By following these comprehensive steps, both candidates and the internal team can ensure a smooth transition from the offer acceptance stage to completing the necessary onboarding requirements. This streamlined process promotes efficiency, accuracy, and a positive onboarding experience for new W2 employees.
