You and your Internal team are able to automate the process of charging a deposit on the platform!
There are three ways to charge a deposit:
At a platform-wide level- When an order is created: All clients on your platform are required to pay the same % deposit when an order is created. To enable the deposit feature at this level; navigate to Configuration → Financial Set Up → Deposit Charge and choose the customization/ rules for charging a deposit.
At a platform wide level- When a candidate is assigned: All clients on your platform are required to pay the same % deposit when a candidate is assigned. To enable the deposit feature for when a candidate is assigned, please contact a member of the WOLF team.
At a per- client level: Your Internal team has the option to select which clients are charged a deposit, when, and what %. To enable charging a deposit for any client, navigate to Configuration → Financial Set Up → Deposit Charge and select Manual, then navigate to the clients account and hit the Take Action button. You will notice there is an option to “Set deposit charge”. When you click on “set deposit charge” it will allow you to customize the deposit rules.
If you wish to enable this feature at a platform wide level, be sure to place a decimal before the percent you are requesting. If you are charging at a client level, you can skip adding a decimal. The verbiage for “Deposit” can also be customized to your liking.
Let’s take a look at each of the configuration options in more detail.
Charging deposit when order is created - The client will be charged a deposit as soon as they’ve placed an order.
Charging deposit when candidate is assigned - Charging of deposit is triggered when candidates have been chosen to fill the shifts within the order.
Manually - If manual is selected at a platform wide level, it enables charging on a per - client basis. If Manual is selected at the client level, it just means that you have the ability to charge a deposit when or if you choose to.
None -If none is selected at the platform wide level, then no client will be required to pay a deposit. You will still have the ability to charge on a per client basis. None is the default configuration.
Once enabled, the deposit will be visible on the status of the order! If we click on the icon that represents the status of the deposit, it will open the proposal for the payment. Once payment has been made the status of the deposit will change to paid.
We recommend using invoice grouping by order for optimal experience. This article shares more about invoice grouping.
NB- You do not need to enable charging a deposit at a platform wide level in order to charge at the client level.
