Let us walk you through the process and configuration options available for placing a job order. We have several explanatory videos to assist both you and your clients.

Once a client has signed up, they can then create a new job order - or you can do it on their behalf - by clicking on the link at the top of the screen (and this is a static link available on all pages) that says New Order (this text is customizable). The first step will be to select the client and job type from a drop-down box. Then you are required to give this job order a title. You can then click on the Create button to start the process. However, you also have the option of duplicating a past job order - you can do this by selecting the past order from the Duplicate Past Order drop-down box. This will allow you to create a job order with previous information already entered.

The next step is adding a Description of the job order, and on this page you will see the order custom data configured, if applicable. For example, if meals are included or PPE is provided. The next tab will require you to add the Location of the job - this will also show you a map of the area. You can provide on-site instructions and the contact person with their number and email address.

The Schedule tab is where you will create shifts for the job order. Here there are a few options you can have configured for your clients. The first option is short-term orders, which is for jobs that are less than 3 weeks. When you select this option, you can then create specific shifts and enter the number of staff you require, the dates and the start and end times.

Another scheduling option is for long-term orders or ongoing jobs - these are jobs that are for more than 3 weeks. Again you can enter the number of staff required and select the start and end dates of the job period. Then you can add specific days with the start and end times, for example, every Monday from 8am to 4pm.

Finally, the flexible schedule option allows you to enter the number of staff and the start and end dates, but no specific times, only the approximate number of hours expected.

Keep in mind, you can have your platform configured to be able to place short-term, long-term, and flexible orders, or just one or two of these options.

As you've just seen, once you've created shifts, you can add your preferences on how these shifts will be filled. On the Preferences tab, there are several options available to you. You can enter preferred candidates if you have any, and these candidates will be given priority for the job order. Some options on how the candidates are selected includes using an expert team - this means that you as the admin can select candidates and/or will use the algorithm of the platform to assist you. This would be the best option as the candidates are taken from a larger pool of staff. Another option is to only select preferred candidates - this means that only candidates that have been entered as preferred will be considered for the job order. This can be risky if the candidates are not available or interested, and then the job order might not be filled. You can also allow your clients to review profiles of candidates if you so wish. It is important to note that the Preferences tab can be removed entirely if you desire.

Job visibility is set to Default which means that only candidates who are interested and authorized can view the job order. Hidden means that only candidates who have been notified of the job order can view it. Then, you can also set a deadline for when the order needs to be filled, for instance, within 5 days.

The Budget tab is created when you configure the job type, as this is where you entered the billing rate and the pay rate. You as the admin can allow your client to offer a higher billing rate if they are in an industry that has a high demand for certain job types, but a limited supply of staff. Clients can attract candidates with a higher billing rate. They cannot, however, go below the minimum rate that you have set. You can now also set the order status to live, pending or send a proposal. The Budget tab as well can be removed entirely if you do not wish to allow clients to upbid.

The final step is to Review the job order and from here you can also edit any details. This is also where you can publish the job order according to the order status.

Remember that you can duplicate a past job order which will save you time and effort from entering in all the details if they are the same for a new job order.
