Long-term timesheets are designed to simplify time tracking for ongoing or multi-week assignments. Instead of submitting individual timesheets for each shift manually, users can efficiently create, review, and submit timesheets using a combination of manual entry and AI-assisted tools. These options are intended to reduce administrative effort while improving accuracy and consistency.
This article outlines how to submit long-term timesheets and explains the available manual and AI-powered methods.
Submitting a Long-Term Timesheet
To submit a long-term timesheet:
Navigate to the Timesheets tab.
Click New Timesheet/ Create Timesheet.
Select the relevant Assignment.
Once the assignment is selected, you will see options for creating your timesheet. You may use AI to generate timesheets automatically or copy from a previous week.
Copying a Previous Timesheet
If you have existing timesheets from a prior week, you can choose to copy a timesheet from a past week. This is helpful for recurring schedules where hours remain consistent across weeks.
After copying, review the timesheet carefully and make any necessary adjustments before submitting.
AI-Assisted Timesheet Generation Options
When using AI to generate long-term timesheets, you can choose from three different input methods. After generation, all timesheets can be reviewed and edited before submission.
1. Text Input
Use text input to manually describe your workday or workdays. The text input supports multiple languages.
Example:
“Tuesday I worked from 8:00 AM to 5:00 PM.”
Based on the text you provide, the AI will generate one or more timesheets. If your text includes multiple days or shifts, the AI can generate multiple timesheets from a single entry.
2. Voice Input
Click the voice button and speak directly to the AI assistant to describe your workday.
The AI will generate timesheets based on the voice recording.
You can review and edit the generated timesheets before submitting.
Voice input supports multiple languages.
3. Image Upload
Upload a photo or image of a completed timesheet.
The AI will read the text from the image and generate the corresponding timesheets.
This option supports multiple languages.
Once generated, you can review and make edits as needed.
Reviewing and Submitting
After generating your timesheets (manually or using AI):
Review each timesheet for accuracy.
Make edits if needed.
Submit the timesheet(s) once confirmed.
Important Note on Conflicts
If there are any conflicts or validation issues, you will not be able to submit the timesheet.
Return to the timesheet.
Review the flagged entries.
Make the necessary adjustments.
Once all conflicts are resolved, you can successfully submit your long-term timesheet.
