When managing multiple accounts, the primary client user may encounter a scenario where the email address they want to use for a delegate account is already associated as the primary client user for a different account. Fortunately, there is a simple workaround that allows them to resolve this issue without impacting email delivery. Follow the instructions below to successfully add a delegate user under these circumstances.
Step 1: Update the Client Email Address
To free up the desired email address for delegate use, clients/admins need to modify the email address linked to the client account. This adjustment ensures that the original email can be used elsewhere. Here’s how:
As a Client: Log in to the platform and navigate to account settings.
As an Admin: Log in to the platform and navigate to the clients account or registered users report to update email.
For Gmail Accounts
Update the existing email address by appending “+1” (or any other number) to the local part of the email address before the “@” symbol. For example:
Original email: user@gmail.com
Updated email: user+1@gmail.com
For Non Gmail Accounts
Replace the existing email address with a valid test email address (e.g., testuser@example.com).
NB: These modifications do not affect email delivery as the delegate user will receive notifications.
Step 2: Use the Original Email for Delegate Access
Once the client email address is updated, the original email address becomes available for delegate use. Follow these steps to add the email as a delegate:
Navigate to the client account where you want to add the delegate.
Enter the original email address (user@example.com) as the delegate email.
Complete the process as instructed by the platform to assign delegate permissions.
Important Notes
Reusing Emails for Multiple Delegates: The same email address can be used as a delegate for multiple client accounts, allowing flexibility in account management.
Email Already Linked to a Client Account: An email address that remains associated with a primary client account cannot simultaneously be used as a delegate. This is why the “+1” or example adjustment is necessary to make the original email address available.
Email Delivery Unaffected: Adding “+1” or (or similar) to an email address will not interfere with the delivery of messages, as emails sent to either version (e.g., user@example.com or user+1@gmail.com) will still arrive in the same inbox.
