Administrative rights define the level of access and control a user has over various functions and operations on the platform. Here’s an overview of key admin rights, with their functions in relation to system management and operational efficiency.

Owner

The Owner holds the highest level of administrative access. This role includes comprehensive control over the platform, with capabilities that extend to financial decisions, system configurations, and overall platform management. The owner can assign other admin roles, manage user access, and make decisions that impact the entire organization’s functionality. This role has both the operational and financial decision-making powers.

Key Functions:

  • Full control over all platform configurations, including core setup, business setup, onboarding setup, ongoing user experience, data administration and advanced settings

  • Assignment and revocation of other admin roles- The owner can assign different rights to internal team members/ admins from Your Team configuration.

  • Ultimate decision-making for platform or system-wide changes- Owners can access configurations to alter the platform’s functionality to better suit their business needs.

  • Access to all financial, system, and platform-related reports.

Financial

The Financial admin has the right to review the monetary aspects of the platform. This role is particularly focused on billing, payments, and financial reporting. Financial admins have access to view and manage the organization's financial records and transactions.

Key Functions:

  • Managing payments and billing- Team members/admins with this right can access all tabs including Accounting and Reports. This right does not include access to the Configuration.

  • Overseeing company financials and invoices from the Accounting tab.

  • Access to financial analytics and reports.

System Configuration

Admins with System Configuration rights have control over the technical aspects of the platform, enabling or disabling specific features or settings to align with organizational requirements. To gain access to System Configuration, this user will also need to be assigned Platform Setup rights, which will give access to the configuration tab. Within configurations, the user will be able to access System Configuration.

NB: WOLF strongly advises against making any changes to System Configuration.

Key Function:

  • Configuring system settings

Platform Plan/Wolf Invoices

Admins with Platform Plan rights oversee the billing and subscription plan for the Wolf platform. Admin must also get access to platform setup to access Platform Plan/ Wolf Invoices.

Key Functions:

  • Managing the organization’s subscription plan

  • Adjusting billing settings and reviewing platform charges

  • Ensuring the right platform features are enabled based on the subscription level

Platform Setup

A Platform Setup admin right gives access to the platform’s structural components. Admins with this right typically work closely with the WOLF team to ensure that the system is set up correctly and that all necessary configurations are activated for the organization to function smoothly.

Key Functions:

  • System setup and configuration

  • Ensuring all necessary configurations are activated

Data Administrator

An admin with Data Administration rights has access to all things concerning data administration including import and export of users, access to custom fields and data, etc. To access Data Administrator rights, admin also needs to be assigned Platform setup rights.

Key Functions:

Importing of clients and candidates

Accessing custom fields and data

Client Acquisition:

Admins with the client acquisition right are notified when a new client signs up.

Key Functions:

  • Receiving notifications of new client sign-ups

  • Monitoring client acquisition performance and metrics

Timesheet Approval

The admin with Timesheet Approval rights is tasked with reviewing and approving timesheets submitted by employees or contractors. This role ensures that all logged hours are accurate and processed for payroll or client billing.

Key Functions:

  • Reviewing submitted timesheets for accuracy

  • Approving or rejecting timesheets based on company guidelines

  • Ensuring that approved timesheets are processed for payroll or billing

Each admin role plays a vital part in ensuring the smooth functioning of the platform. By distributing these responsibilities, your platform can operate efficiently, keeping users and the system well-managed and up-to-date.
